Insurers and BGRS/Sirva will ask for four things when you claim. PostingPal helps you have all four ready before you need them.
1. A photo of every item
The photo is your proof of ownership and condition. Add one even for cheap items — a missing photo is the most common reason claims get questioned.
2. A clear description
Brand, model, and a couple of distinguishing details. The AI writes a good first draft; add anything that would help an adjuster picture the item.
3. A replacement value in CAD
Replacement value means what it would cost to buy the same (or equivalent new) item today. PostingPal's AI estimates this, but for big-ticket items you should keep a separate appraisal.
Claim PDFs show the preparation date automatically, not proof of submission to the insurer. Arrival claims record the incident date as unknown in transit. Before generating, optionally recalculate selected replacement values in CAD (one AI suggestion per item, including failed attempts), review or edit the proposals, then accept or discard them. Accepted values apply only to this claim; inventory values and older PDFs remain unchanged.
4. A purchase date when possible
Not required, but speeds up depreciation calculations. The CSV and PDF both include the field.
What the claim PDF includes
A PostingPal masthead introduces the claim. The claimant name is filled in from your account; change it if someone else should be listed. The cover and summary reflect the shipment origins of the selected items, including a second origin when used. Each claimed item’s detail page shows its assigned shipment origin, quantity, original cost and claimed amount in CAD. Costs include the full quantity; an origin means the shipment’s pickup location, not the place of manufacture or purchase. Missing origins are shown as not recorded. Previously generated PDFs remain unchanged. Before the PDF is made, a final check lists every item with its origin, amounts, photos and receipts, and flags anything missing with a quick fix. Add photos or PDF files of receipts, invoices or manuals to each item, up to 6 pages per item; each PDF page is turned into an image automatically. They’re added to that claim’s PDF only, on pages after the item. If a PDF has more pages than fit, the extra pages are left out and you’re told how many; remove pages you don’t need and add the file again. Password-protected PDFs can’t be read; use a screenshot instead. Mixed-origin claims show totals by shipment origin, and you can choose one combined PDF or one PDF per origin when each shipment is covered by a different mover or policy.
Signing the declaration
The final check shows the declaration you're signing. If you've saved a signature and the claimant name matches your account name, you can tick Sign this declaration with my saved signature. The declaration page then shows your signature, the date, the place of signing (suggested from your move's destination; you can change it), your policy number, and a line saying when it was signed electronically, with the verification code. The first page says "Signed electronically on [date]". Leave the box unticked to print a blank line and sign by hand; the first page then says "To be signed by hand". Your signature is never added without your say.
Verification code and evidence stamps
Every claim PDF gets its own verification code. The cover shows it with a QR code, and the code is printed at the bottom of every page. Your insurer or adjuster can scan it, or type the code at postingpal.app/verify, to confirm PostingPal made the PDF on that date with that item count and total. They can also choose the PDF they received to check it is identical to the original; the file stays on their device. The page shows no names, addresses or item details, and it doesn’t confirm ownership or values. When you make one PDF per origin, each PDF has its own code. Deleting a claim PDF from Reports history withdraws its code.
Each item page also shows dated evidence stamps: when its main photo was added to PostingPal, when it was listed in your inventory, and that the photo predates your recorded departure when that’s true. Dates come from when files were saved, not from what you type. A replaced photo shows the date it was replaced. Vehicle side photos don’t get a photo stamp.
Recommended workflow before a posting
1. Import or photograph everything. 2. Run Audit prices with AI to catch obvious value errors. 3. Generate the insurance-claim PDF and save a copy outside PostingPal (email it to yourself, store in cloud drive). 4. Tag everything with the correct shipping mode. 5. Re-generate the PDF the week before the movers arrive.
